The challenge

With the opening of Superbude Vienna, a digital solution was sought to map the guest processes on site. The aim was to avoid queues at check-in and check-out. It quickly became clear that no standard solution was suitable for the desired features: filling out and signing the registration form, upselling, paying the bill, check-in including key card creation and much more - as a kiosk solution and on the guests' own device. Superbude uses the MEWS PMS, which, thanks to its open API philosophy, provides the perfect conditions for integrating an individual guest check-in solution.

The XPORT solution

As part of an agile project, we built the "Superspace" together with Superbude - a customized development with the look and feel of Superbude. Guests can do everything related to their booking here via a deeplink from the pre-stay mail, on site via smartphone using a QR code or directly at the iPad-based kiosk:

  • Digital registration form: fill in and sign directly on screen
  • Enter the company address for the invoice
  • Upselling: upgrade your booking and add extras
  • Process invoice and pay online or on site and then send as a PDF by e-mail
  • Check-in: Create your own key cards on site

The core of our solution is based on the open source CMS framework ProcessWire. The hotel-specific content (texts, images) can be customized by the employees on site. Processes can also be individualized for each location (e.g. the kiosk mode is only available in individual hotels).

The bill, please: Queuing at reception just for the bill? That's no longer the case at Superbude. In the Superspace, guests can view their bill, split it up, move bill items themselves and of course pay: online via Concardis (credit card & PayPal), on site at the kiosk via physical card or of course Apple Pay/Google Pay at a card terminal. After payment, the invoice can be downloaded or forwarded by e-mail. Practical, isn't it?

Ready for check-in: Registration form completed? Check. Invoice paid? Check. Room ready? Check. Only then does the corresponding tile open. Guests can use this to generate their own key cards in the hotel. The key card encoder in the hotel is addressed from your own smartphone or at the kiosk. Put the card on and go!

Different scenarios

We have implemented different modes for the different scenarios:

Own-device mode: guests can fill out their registration form, book extras or pay their bill online by credit card or PayPal via a deeplink from the pre-stay email or reservation confirmation before arrival or on the go on their desktop or smartphone. Once they are on site, they can generate their key cards themselves at one of the encoders provided.

Kiosk mode: in some Superbuden, guests can use the Superspace on permanently installed iPads on site. A search function can be used to open your own booking. An on-site card terminal is integrated for payment in kiosk mode.

MEWS API and other services

Our solution interacts with several external services at API level:

Superspace is fully integrated with the MEWS PMS API and synchronizes all processes with MEWS in real time (two-way connection). XPORT is a certified MEWS partner.

In further releases, additional touchpoints of the guest journey (e.g. in-stay processes) will be implemented as a digital solution.

Mobile first in Superspace

When developing the Superspace, we prioritized mobile devices. Even though the Superspace can also be used via the pre-stay deeplink on the desktop, it has to work particularly well for guests who want to have their registration form and room card created on site during their arrival.

In addition to a mobile-optimized front end, we have also integrated some device-specific functions, which are otherwise more familiar from native apps, directly into the browser application:

To scan the QR code during the check-in process, we have implemented a cross-platform solution that accesses the hardware camera in the browser and extracts a QR code from the camera image - on the client side.

Also not entirely without problems, but ultimately successful: On touch devices (smartphone kiosk application), the registration form can be signed directly in the browser with a finger.
